Use cases › Installers and field technicians

Technicians post from their phones. The agent drafts the reports. The office approves.

Example scenario: how it could work in your business.

In short. In an installation or maintenance company, technicians could post in the company’s Telegram group at the end of each job: what they did, materials used, hours, photos if any. Rilvo Coworker turns these messages into a draft job report and a billing note. The office checks and approves them.

The context

In a company with 6–10 technicians, job reports arrive in pieces: a message, a photo, an evening phone call to the office. Whoever is in the office has to rebuild everything, often days later, to prepare the report and the invoice. Meanwhile, jobs waiting to be closed pile up and things get lost.

What the agent could do, step by step

1

Gets the technician’s message

in the Telegram group: customer, what was done, materials, hours, photos if needed.

2

Asks for what’s missing

with a short question in the group: for example the material code or the finish time.

3

Drafts the job report

in the company’s format.

4

Prepares a billing note

Materials and hours, ready for whoever does the invoicing.

5

Proposes the report and the note to the office

which checks them, corrects them if needed and approves them.

6

Keeps the list of open jobs

and every morning reminds the office what’s missing to close them.

How the team works with it

Channel

The company’s Telegram group. Technicians use an app they often already have on their phones; nothing else to install.

Who approves what

The agent prepares, the office approves. Reports and billing notes don’t go to customers or turn into invoices without a person checking them.

Who changes the rules

The report format and rules are agreed at activation and updated with us.

Benefits

  • Reports are prepared while the job is fresh, not at the end of the week.
  • The office doesn’t retype notes: it checks and approves.
  • No forgotten jobs: there’s one list of open jobs, for everyone.
  • No licence for every technician: the fee is per company.
  • The office stays in control, approving before anything goes to a customer or into an invoice.

FAQ

Do technicians have to install a new app?

If they already use Telegram, no. If they don’t, it’s a free app and we help you set up the group.

Does the agent issue invoices?

No. It prepares a note with materials and hours for whoever does the invoicing. The office issues the invoice, with its own tools.

What if a technician forgets something?

The agent asks in the group before drafting. If the information doesn’t arrive, it flags it to the office.
